After your booking is confirmed, we’ll send you a Guest Information Planner for your guests’ names, accommodation details, contact numbers and anything else we should consider. It only needs to be returned two weeks before the wedding, giving everyone time to finalise where they’ll be staying.
From there, we prepare a personalised transport schedule for your day. You’ll receive it to review and approve.
Once the schedule is finalised, you provide each guest with their confirmed pickup time, pickup location and any relevant instructions before the wedding day.
Then, a few hours before transport begins, each driver sends their guests a message introducing themselves and reminding them of the confirmed arrangements.
If a guest needs to advise us of a change or cancellation, they can message their driver directly.

You receive the completed transport schedule to review and approve. Once finalised, you are responsible for giving each guest their confirmed pickup time, location and any relevant instructions before the wedding day.

Bendooley Estate wedding transport
Bendooley Estate is one of our most regular wedding destinations, across both the Book Barn and The Stables.
We coordinate wedding cars and guest transport around accommodation locations, guest numbers, venue access and the schedule for the day.
Where the locations and timing make it practical, most vehicles may complete up to two guest-collection runs before the ceremony and up to two return runs after the reception. This can transport more guests without automatically requiring another vehicle.
We’ll determine what is workable once we know where guests are staying and which part of the estate you have booked.
Centennial Vineyards wedding transport
Centennial Vineyards’ position near Bowral makes it well suited to coordinated guest collections from hotels, houses and accommodation around town.
Depending on the collection locations and schedule, most vehicles may be able to complete up to two runs before the ceremony and two return runs after the reception.
We plan the sequence so guests arrive comfortably before the ceremony and know when and where they will be collected at the end of the night.
Mali Brae Farm wedding transport
Transport to Mali Brae Farm needs to be planned carefully around the venue’s arrival and departure arrangements.
Mali Brae Farm permits one arrival run and one departure run per vehicle. We account for that from the beginning by recommending enough vehicle capacity for everyone rather than relying on a second journey.

The 13-seat bus is a comfortable choice when a smaller vehicle does not offer quite enough room. Our 24-seat bus is the largest of our nimble buses, balancing guest capacity with the flexibility to reach many venues, accommodation properties and local roads that may not suit a full-sized coach.

57-seat wedding coach
Our largest guest transport vehicle allows a substantial group to arrive and depart together. Because of its size, the coach cannot access every accommodation property, road or venue entrance. It is best suited to central collection points and is limited to a maximum of eight pickup and drop-off locations.
For larger weddings, pairing the coach with one or more smaller buses can offer the best of both worlds: capacity for the main guest group and flexibility for tighter or more difficult collection points.

Our pricing is straightforward, but our recommendations are personalised.
Every quote begins with understanding how many people are travelling, where they may be staying, which venues are involved and which parts of the day you would like us to look after. From there, we recommend the combination of vehicles and services that we believe will work best.
How the Wedding Package works
The Wedding Package is designed for guest transport before the ceremony and after the reception.
It allows for up to two hours of vehicle time before the ceremony and up to two hours after the reception, calculated from the time the vehicle leaves our Moss Vale depot until it returns.
Within those periods, most vehicles may be able to complete up to two guest-collection runs before the ceremony and up to two return runs after the reception.
Whether multiple runs are practical depends on:

Mali Brae Farm is planned as one arrival run and one departure run per vehicle. The 57-seat coach also includes one collection run and one return run.
Once we understand where guests are staying, we’ll prepare a realistic transport plan and show clearly what each vehicle can complete.
*Standard pricing applies to weddings within the Southern Highlands. Weddings at Caoura Cliffs or in Goulburn, Berry and Kangaroo Valley require a tailored quote.
Wedding Package prices
Afternoon-only or evening-only wedding transport
If you only require transport before the ceremony or after the reception, hourly wedding rates may be more suitable. Hourly hire has a two-hour minimum and is calculated from the time the vehicle leaves our Moss Vale depot until it returns.
Booking notes
A 50% non-refundable deposit is required to secure the booking.
Each vehicle is removed from availability once booked for your wedding.
Child seats are available for $10 per seat.
Transport commencing from midnight onward attracts a $100 surcharge per vehicle.
Public holiday surcharges apply.
Vehicle changes close to the wedding cannot be guaranteed.
Final guest information may affect the transport plan if the locations or numbers differ substantially from the original enquiry.
Where your guests stay matters more than most couples expect.
If there is one piece of advice we share with almost every couple, it is this:
Encourage your guests to stay as close to your venue—and, where possible, close to one another—as they can.
It gives them more time to check in, unwind and get ready, with less of the wedding day spent travelling. It also gives us greater flexibility when planning collections and can make better use of each vehicle.
The Southern Highlands is larger than many visitors expect.
Forty guests staying at one Bowral hotel may need a very different transport plan from forty guests spread between Bowral, Bundanoon, Robertson and Moss Vale.
Every additional stop requires more than driving time. The vehicle needs somewhere safe to stop, guests need time to board, seatbelts need to be fastened and everyone needs to settle before the journey continues.
Keeping guests reasonably close together can mean:

As early as possible. Each vehicle can usually only serve one wedding on a particular day. Once it has been booked, we remove it from availability and may need to decline other enquiries for that vehicle and date. Popular wedding dates and vehicle types can therefore book out well in advance.
Your completed Guest Information Planner is due two weeks before the wedding. We understand that individual guest addresses may not be known when you first enquire, so the initial quote can be based on estimated guest numbers and general accommodation areas.

Forty guests staying at one hotel may require a very different arrangement from forty guests spread across several towns.

Yes. We can arrange post-reception transport for a small group or your complete guest list, even if you do not need pre-ceremony collections. Our hourly wedding rates may be the most suitable option.
